Coaches / Director Checklist

All Minnesota Boys High School Volleyball Coaches / Program Directors need to complete the following steps!


Step 1: Register with MN Boys HS Volleyball & Pay School League Fee

REGISTRATION DEADLINE
FEBRUARY 15th, 2021

NOTE: $200 NON REFUNDABLE DEPOSIT is due at the time of registration.  The remaining balance is due by  April 1st, 2021.

$1,360 School League Fee Includes: 
KICK OFF MTG DISCOUNTED SCHOOL LEAGUE FEE = $1,260 

  • SPORT ENGINE website  page for every school and their teams
  • Exposure to college coaches for players via the MN Boys Website
  • League and team scheduling
  • Mobile & website communication for your school teams
  • Cost of officials, processing, & fees
  • Advocacy support in bringing boys volleyball to the MSHSL
  • Other administrative costs to run the Spring League & MN Boys Volleyball Association.

Note:  This league fee is NOT the total cost for each player to play volleyball this spring. 

Example:  For a SCHOOL with a minimum of 14 players.   Each player will be contributing $90 toward the $1260 "KICK-OFF MEETING" SCHOOL LEAGUE FEE.  It will be less or more depending upon how many players PER SCHOOL you carry on your VARSITY / JV roster.  See the Matrix for a breakdown of cost per player.

STEP 2: SIGN UP FOR STARS AND STRIPES TOURNAMENT

REGISTRATION DEADLINE
FEBRUARY 15th, 2021

 

THIS IS THE MOST LIKELY TOURNAMENT EVENT TO TAKE PLACE THIS SEASON
The status of our schools to hold tournaments is unknown at this time.  Prioritize this tournament!!

 

  • MAY 29-31, 2021

  • MINNEAPOLIS CONVENTION CENTER

  • BOYS HS 18’S & GIRLS 15 -18’S

  • 7 MATCH GUARANTEE

  • $425 PER TEAM (ONLY $42.50 PER PLAYER)

 

MN Boys HS Association and Northern Lights are sponsoring
the member teams in the Spring League by making this tournament very affordable!!!



Step 3: Submit Scheduling Information

MN Boys HS Volleyball will take care of the initial scheduling of ALL regular season  matches for each group or conference.

Some conferences will have a CONFERENCE DIRECTOR (point person) - the director of your group will be communicated  once we organize the conferences. 

EACH School MUST fill out the availability form BY MARCH 1ST, 2021.

 Be prepared to enter the following information:

  • Host Dates:  Dates your school can host Varsity & JV game days.

  • Number of Courts available for Hosting:    We need neutral sites for schools that are not able to host any matches - please let us know if you can host 2 or more courts on the same night.

  • Start Times:  Games will start at the designated start time.  This assumes 15 minutes for warm-up prior to any designated start time regardless if gym availability is delayed.     
    Example:   Scheduled Start time is 6pm.
    Gym is available at 5:30 so JV match will start on time at 6pm. 
    Gym is not available until 6pm  so JV match will start at 6:15pm - 15 minutes later than scheduled start time.

Step 4: ATTEND MANDATORY COACHES MEETING Via ZOOM

The Mn Boys HSVB Assn will conduct a coaches meeting with review of all protocol, scheduling, guidelines, and officiating requirements to ensure consistency throughout the league and especially with schools new to the league.    

Each school is required to have at least 1 Coach, Club Director, OR Parent/Manager attend 1 of the 2 mandatory Coaches' Meetings.

Step 5: Complete Junior Volleyball Association (JVA) Membership

NOTE:  Please read this entire section before you begin any tasks.

As soon as you have committed to supporting a boys high school team please go to www.jvaonline.org, click "Join Now" in the top right hand corner, and proceed to purchase the JVA Club Director membership.

COMPLETE BY THURSDAY, APRIL 1ST,  2021 

NOTE:  Only ONE individual/director/head coach should register your school program. The yearly membership fee is $120.00.

  • Please use "(Insert Your School Name) Boys HS VB" for the title when registering your new school program membership.  Example:   Shakopee Boys HS VB

NOTE:  An individual/director/head coach cannot register as JVA Club Director Membership for more than one school. 
You have 2 options:

1.  If you are already a Director of a JVA Club and wish to register your boys high school team(s) under your current JVA Club then skip the director membership and go to Step 4 below.

2.  If you are already a Director of a JVA Club and do not want to register your boys high school teams under your current JVA Club then you must use a new person/coach and email to sign up as a director of your new boys high school club. 

This pertains ONLY to the JVA Club Director membership, not team program insurance registration.

Step 6:  Purchase JVA Program Insurance for Varsity & JV Teams

Each school MUST purchase JVA Program Insurance for each team.  It is $110 per team and covers players and coaches every time they step into the gym (including tryouts, practices, camps and events) for the entire insurance year.

  • Each school (No. MN excluded) is required to have a JV and Varsity team.  Your school will need to purchase insurance for 2 teams.  The cost will be $220 per school.
  • You do not need to wait for tryouts or for your teams to be formed.  You can purchase the insurance for each team TODAY.

Click HERE to proceed to JVA Insurance.   Scroll down to "Program Insurance" and complete application.  If your school is not listed in the drop down, scroll to the top and select "other".  You will then be added to the system.  

IMPORTANT:  For those school clubs that need it,  you can list your school district, high school, or playing facility as an ADDITIONAL INSURED on your policy.

Once purchase is made, you will receive your Certificate of Insurance within 2-3 days.

NOTE:  You must have this in place BEFORE you start your regular season practices.  Plan ahead.  Due to the large volume of last minute requests, there is a $50 fee to expedite applications that are filed less than two weeks prior to the start of your season or your event.

Step 7:  Purchase Background Screening and APS Training for All Adults

NOTE:  All adults working with the players must be background checked and APS Certified. 

  • Even if you have a background check through your school you still must complete the JVA required Background Screening and APS. 
  • If you have a USAV membership/Safe Sport certified, you do not need to complete this.  You do need to provide proof of that in place of taking the APS Training.  Email a copy of your certificate to Lisa at JVA!!!

Background Screening and APS (Abuse Prevention System) Training: 
NOTE:  This is only needed every two years.  It is a two year screen/training for $38 that automatically rechecks you after the first year.   The cost for the screening will still be good for 2 years and you do NOT need it again this year if you completed it in 2020.

Once you complete the Background Screening information, you will be asked to purchase.  After you purchase, you will be emailed a link to begin your APS Training.



Step 8: Complete JVA Paperwork for Players and Coaches

NOTE:  Send the link below to your players and coaches AFTER you have purchased JVA Program Insurance.  This will allow them to complete their player insurance forms electronically.

Step 9: Enter School Program Information on Website Team Pages

NOTE:  New and need access?  Email website coordinator at mnboyshsvball@gmail.com 

All schools must enter the following information ASAP:

  • Roster:  Player name & number as soon as they join your Varsity or JV Team.  Click on the "Roster" tab of your school page to enter your players.  You will enter BOTH Varsity and JV players on your SCHOOL PAGE. 
    For more information, click on the "Need Help?" tab along the right side of the page. 
  • Coaching Staff:  Name, Position, Phone and Email
  • Athletic Director:   Phone & Email
  • School Mascot or Name:  (example -  Shakopee Sabers)
  • Home Site Playing Location and Instructions:  Enter Info


Step 10: SIGN UP FOR WEEKEND TOURNAMENTS

REGISTRATION FOR ALL TOURNAMENTS WILL BE PROCESSED THROUGH THE MN BOYS HS VB WEBSITE.

  • Visit the tournament page on the website to register.
  • Tournament entry fee is an ADDITIONAL fee.  It is NOT included in the MN Boys HS VB League Fee.
  • Varsity and JV teams will be accepted.
  • $210 Tournament Entry Fee for EACH team entered.
  • Awards will be given to the Varsity Division Champions and JV Division Champions.
  • NO REFUNDS WILL BE GIVEN FOR TEAMS THAT WITHDRAW 7 DAYS PRIOR TO THE DATE OF TOURNAMENT (including weekend days)   EXAMPLE:  For a Saturday, May 2nd tournament date, a team must notify MN Boys HSVB of withdrawing from tournament by 11:59pm on Saturday, April 25 to receive a refund.

 

The Registration "Coaches Checklist" is not currently available.



Step 11: CONDUCT RULES AND OFFICIATING CLINIC

There will be NO Large-Group Officiating Clinics. 

Both Varsity and JV Teams will continue to assist with officiating duties at home and away matches.  Coaches are expected and required to review League Guidelines and conduct an officiating clinic with its JV and Varsity Teams before the first competition.

Training materials and tutorials will be provided by April 1, 2021.  Players will be trained on the following:

  1. Line Judging
  2. Score Sheet and Line Up Tracking
  3. R2  Duties


Step 12: Be Aware of Injury Protocol

NOTE:  If an injury occurs, please complete the Incident Report below and send to Lisa Wielebnicki at lisa.wielebnicki@jvavolleyball.org.  

If a claim needs to be filed, please let Lisa know and she will send over a claim form with instructions for the injured athlete.

Step 13: BADEN EQUIPMENT ORDER - check back for 2021 info!!!

Baden is the official ball of the MN Boys HSVB Association.  EACH school will need to provide Baden Boys VCOR ball for matches.

We encourage you to consider ordering sooner than later as orders placed shortly before the season start date will cause high demand and could result in delivery delays.
